Think Before You Prompt: Protecting Your Data in the Age of Artificial Intelligence

News & Announcements

Artificial intelligence (AI) tools are transforming how organizations work. From drafting emails and brainstorming ideas to analyzing data and automating tasks, AI can help teams become more productive and efficient.
However, not all AI platforms are created equal. While many organizations are embracing AI, some users may unknowingly expose sensitive information by entering it into public AI tools that lack the protections their organization requires.
As Cybersecurity Awareness Month reminds us, every security decision matters. Understanding what information should never be shared with AI is an important step in protecting your organization, your customers, and your reputation.

Not All AI Tools Are the Same

One of the biggest misconceptions about AI is that every platform handles data the same way.
Public AI tools are designed for broad consumer use and may have different policies regarding data retention, training, or storage. Enterprise-grade AI solutions often include additional security controls, privacy protections, and administrative oversight.
Before entering information into any AI platform, it’s important to understand your organization’s policies, approved tools, and data security requirements.
A simple rule of thumb: If the information would be inappropriate to share publicly, it should not be entered into an AI tool.

What Not to Share with AI

Whether your organization is evaluating AI or already using it, it’s important to understand what information should not be shared with AI tools.

Confidential Information
Internal reports, business strategies, and proprietary information

Client Information
Customer records, account details, and personally identifiable information

Passwords and Credentials
Passwords, login information, and multi-factor authentication codes

Financial Data
Credit card numbers, banking details, retirement account information, and tax records

Personal Information
Social Security numbers, birth dates, home addresses, phone numbers, and email addresses

Trade Information
Proprietary processes, intellectual property, and competitive business insights

Think Before You Prompt

Before entering information into an AI tool, ask yourself:

  • Would I share this publicly?
  • Does this information belong to a customer, client, or coworker?
  • Would I be comfortable if this information were exposed?

If the answer is “no,” it likely doesn’t belong in an AI prompt.
